How to work with Trados Studio's cloud capabilities

What are Trados Studio's cloud capabilities?

Built on RWS Language Cloud, the cloud capabilities of Trados Studio (that can be used in combination with the desktop app) are designed for individuals to manage projects, translate, review and store resources.  

You also have the ability to upgrade to our other cloud packages which include Trados Team (collaboration offering) and Trados Enterprise (fully fledged translation management and productivity offering). 

How do I use Trados Studio's cloud capabilities?

From Trados Studio 2022 (or Trados Studio 2021), essential cloud capabilities have come as standard and will always be available for customers using currently supported versions of Trados Studio. So all Trados Studio 2022 users will automatically have the ability to use the cloud, browser-based features when they purchase Studio 2022.

You cannot purchase Trados Studio's cloud capabilities alone, without the Trados Studio desktop app. 

When can I start using Trados Studio's cloud capabilities?

You can start working with Trados Studio's cloud capabilities on the date you purchase Trados Studio 2022. It comes as standard with Studio 2022, there is no extra cost.

When will my Trados Studio cloud subscription end?

The essential cloud capabilities of Trados Studio are not part of a separate subscription and come, for free, as part of your purchase of the Trados Studio 2022 desktop app.

How do I access the cloud?

You can access the cloud through Trados Studio, by selecting the ‘Working with cloud projects’ link in the welcome view, or by typing live.trados.com in a browser on a smartphone, tablet, Windows PC or Mac. If you wish to learn more about working in the cloud, please watch this video.

What browsers support the cloud?

You can access the cloud through the latest versions of Google Chrome, Microsoft Edge, Mozilla Firefox and Safari.

Through how many devices can I access Studio's cloud capabilities?

You can access the cloud capabilities of Studio on two devices; for example, on your laptop and smartphone. Should you wish to work in the cloud on another device, you will be able to manage your registered devices from your cloud account.

Can I share my translation resources and projects stored in the cloud with other people?

The essential cloud capabilities of Trados Studio do not offer sharing capabilities. If you want to start sharing your resources and projects with others, you will be able to upgrade your subscription to Trados Team. Find out more about Trados Team here.

Are Trados Studio 2022's cloud capabilities compatible with previous versions of Trados Studio?

Studio's cloud capabilities are only compatible with Trados Studio 2022 and Trados Studio 2021.

My company has purchased a Trados Studio 2022 network license, how do we access the cloud features?

As you may know, Trados Studio Professional network licenses can be used by multiple people. We therefore issue one essential cloud package which the account administrator can add users onto, equivalent to the number of Trados Studio licenses they purchased. So, if a user purchases 5 Trados Studio 2022 network licenses, up to 5 users could be added to use Studio's cloud capabilities.

As a Trados Studio 2022 network license holder, how do I add users so that they can access the cloud capabilities of Studio Professional?

The administrator can add users themselves by heading to the users section in their cloud account. Please note, they can only add the number of users equivalent to the number of Studio licenses they hold. So, if a user purchases 5 Trados Studio 2022 network licenses, up to 5 users could be added to access the essential cloud capabilities.

We have a Trados Studio 2022 network license and have been added as users on the same Trados cloud account. Can we share resources?

No, when multiple users are added to a Trados Studio cloud account they are allocated their own workspace within the cloud. They do not share resources and cannot see each other’s projects or activity. To benefit from sharing capabilities, you can upgrade to Trados Team. When upgrading to a different subscription, all resources you have previously built will continue to be available.

When working on a cloud project in Trados Studio, do I always have to have internet access? What happens if I lose connection?

Yes, in order to access anything saved in the cloud you will need to have internet access. However, if you lose internet connection whilst working on a cloud project in Trados Studio, Studio will warn you that you have lost connection and will attempt to re-establish it when possible. In the meantime, you can continue working on the file offline with file-based resources. Once internet access is restored you will be able to save the file, at which point it will automatically update the project in the cloud.

What is the Trados Mobile app?

The Trados mobile app gives you the flexibility to manage your translation projects wherever you are – create new projects, track your translation progress, check project due dates and lots more while out and about. Is there a storage limit to how much I can save in the cloud?

No strict cloud storage limits have been put in place, however we do have a fair usage policy we expect users to take into consideration. For more information on our fair usage policy, click here.

How secure is the cloud? Who has access to my data?

Where are the servers that host RWS Language Cloud located?

The servers that host RWS Language Cloud and thus all cloud subscriptions (including Trados Enterprise, Trados Team and Trados Studio's essential cloud capabilities) are located in Frankfurt, Germany.

Is my data stored in the cloud backed up?

Yes, data stored in the cloud is backed up.

Can I permanently delete data in the cloud?

While you have an active subscription, you can delete your data from RWS Language Cloud using the features of the application. You can also open a Support Ticket via the RWS Gateway to request deletion of your account and any associated data.

What is a ‘customer’ in the cloud?

In the cloud there is a customer tab which acts as your folder system. Your customers can represent whatever you want, e.g. if you are a freelance translator you may wish to set up your customers under the names of your different clients, but if you are a corporation you may choose to label your customers a line with the internal departments you serve. Then everything you create in the cloud, including any projects and resources, can either be assigned to a ‘customer’ or to the ‘route level’- think of this as your C: drive in Windows. If you chose to assign a resource to a customer, these resources will only be available to projects created for that customer. If you chose to assign a resource to the ‘root level’, these resources will be available for all projects.

What does local resource and local project mean? How is it different to the cloud?

Local or file-based projects and resources are those that have been created in Trados Studio and saved to your computer, typically a local drive such as C: or D: on a Windows PC. Local projects and translation memories can now be saved to the cloud so they can be accessed and potentially shared through the cloud, on any device.

Can I open a local Trados Studio project or project package in the cloud?

From Trados Studio 2021 SR2, users can save local projects and project packages to the cloud, which you can then choose to continue working on in Trados Studio, or in the online editor. 

Only local projects that are set up for translation using the Trados Studio project wizard can be saved to the cloud. Files that have been opened for translation using the ‘translate as single document’ option, cannot currently be saved to the cloud. 

For now, you can seamlessly upload and save native Trados Studio project packages to the cloud. Compatibility with other types of project packages will come with time. 

Can I create a return package if I save a Trados Studio project package to the cloud?

Yes, once your Trados Studio project package has been saved to the cloud, there will be an option for you to create a return package from Trados Studio.

When using the ‘Migrate local TMs to cloud’ wizard in Trados Studio, can I migrate file-based translation memories into existing cloud translation memories?

At this time, users cannot migrate a local translation memory into an existing cloud TM when using the ‘Migrate local TMs to cloud’ wizard in Trados Studio. Users can, however, export the data from the file-based translation memory and import it into your cloud translation memory of choice manually.

You can use the ‘Migrate local TMs to cloud’ wizard to: 
  • Create a single cloud TM containing all file-based translation memories. 
  • Create a cloud translation memory for each language pair. 
  • Create cloud translation memories for each file-based translation memory. 
Once your TMs are in the cloud, you can continue to work on a local project or cloud-based project with your cloud TMs. 

Can I migrate my local termbases to the cloud in the same way I can now migrate local translation memories?

From Trados Studio 2021 SR2, you can now save local translation memories to the cloud. At this time, migrating local termbases to the cloud is not supported, but you can import a file-based termbase into an existing cloud termbase.

Can I import a Trados Studio project template to the cloud?

Cloud project templates are built differently to those created in Trados Studio, so they will need to be recreated in the cloud using its new concepts and ways of working.

Can I import a customized Trados Studio file type to the cloud?

Yes, in the file type configuration tab in the cloud, you can select a file type configuration setting and import a Trados Studio file type that you have customized in line with your requirements.

What machine translation (MT) providers are available in the cloud?

Currently you can connect to Language Weaver, DeepL, Microsoft, Google and Amazon machine translation providers when working in the cloud. Language Weaver is available by default and to work with any third party providers you can install the relevant add-on from the RWS AppStore. Head to live.trados.com, select your initials in the top right-hand corner, then RWS AppStore. Available MT providers will be presented to you, more will be added in time. 

It is also worth noting that when working with a cloud project, you can also leverage the local MT providers available through Trados Studio by: 
  • Creating a local Trados Studio project, attaching your MT provider of choice, pre-processing your project with it and then using the wizard available in Trados Studio to save the project to the cloud. From there you will be able to open the file in the online editor to continue translating. 
  • Opening up a cloud project in Trados Studio, then attaching a local MT provider to the project.   

What are translation engines?

Translation engines are a new concept in the cloud and are designed to group your resources together to speed up project creation. A translation engine groups your translation memories, termbases and any machine translation providers together into one entity, then when it comes to creating a project you just select a translation engine rather than selecting all your resources individually. Translation engines can be added to your cloud project templates, along with any other file type and project settings you wish to use. Once you have created a translation engine, it can be used anywhere- in a cloud project, a local project, or be sent to others in the supply chain.

Once I have set everything up in the cloud, do I have to work in the browser or can I continue to work in Trados Studio like I used to?

Trados Studio 2022 is seamlessly synced to the cloud; this means that once you have set up your cloud environment, you can continue to work through Trados Studio as you always have done, whilst leveraging cloud processing power and all your cloud resources.

When working with Trados Studio's cloud capabilities, there is an Inbox. How should I use this?

The use of the inbox is optional as you can choose to open a project for translation from Studio or the projects view instead. However, many do use the inbox as their to-do list; in this view every translation project assigned to them is split out into a list of files that need to be translated. When the translation task is new, it appears in the new tab; when you have started working on it, it moves into the active tab; and when the translation has been marked as complete, it transfers to the completed tab. This gives you a clear idea of how much work you have to work on and in what order. In addition, when you receive a project from a client using Trados Team or Trados Enterprise, the assigned project will appear in the inbox for you to accept, before starting work on it.

If I start translating in the online editor, is it possible to move to the Trados Studio editor to continue translating?

Yes, because Trados Studio and the cloud are seamlessly synced you can move between the online editor and the Trados Studio editor to continue translating with ease. To ensure all changes are reflected when changing environments, please ensure: 
  • You close down the file in the online editor, before opening it in the Studio editor, by using the close ‘X’ button in Online Editor. 
  • You save and close the file in Trados Studio before attempting to open in the online editor. To ensure there are no versioning conflicts, Studio will check and prompt the user if the cloud file is more recent than your local version.  

Can I export analysis reports from the cloud?

Yes, you can export analysis statistics for a cloud project. Select the cloud project in the projects view> reports tab, then on the right hand side you will find the option to download the analysis statistics.

Can I create a cloud project using files received on my smartphone or tablet?

Yes, with the Trados mobile app you can quickly and easily create a cloud project from any files saved on your smartphone or tablet.

Can I translate in the Trados mobile app?

The Trados mobile app gives you more flexibility to manage your translation projects wherever you are – create new projects, track your translation progress, check project due dates and lots more while out and about. This app does not provide you access to the online editor.

Can I work with cloud resources on a local project in Trados Studio?

When working on a local project in Trados Studio you can work with both file-based and cloud-based resources. In the cloud your cloud resources (including translation memories, termbases and machine translation) are grouped together into translation engines. To add a translation engine to your local Studio project go to Project Settings> Language Pairs> All Language Pairs> Translation Memory and Automated Translation> Use…> Cloud-based resources> Translation Engines. However, to fully benefit from the cloud, we do recommend saving the project to the cloud too using the save to cloud wizard available in Trados Studio 2021 SR2 and beyond.

What if my browser freezes, is there a backup of my file available?

When working on a cloud project in the online editor files are autosaved at regular intervals, meaning you will lose no or, if at all, minimal work if your browser freezes. You can also access file version history by selecting project > files tab and ticking the file in question, file versions will appear on the right-hand side of the screen for you to download.
